The Rental Process

What is the Rental Process?

You can browse our inventory online and submit a request for the items you like. If you do not see what you are looking for, contact us anyway as we only publish a sampling of the inventory and it may be that the item for which you are looking is just not being shown. Feel free to request our assistance in coordinating the look of your event – we are happy to assist if requested. Once you believe that you are ready to proceed, we will confirm availability and pricing of the needs we can satisfy in the timeframe you specify. In order to reserve what you have chosen, we request that you execute a rental agreement at which time a deposit of 25% of the agreed total rental price under the agreed terms is due. You have no reservation until both the agreement is executed and the deposit paid. If delivery or pick up for what you have chosen is required or preferred, we set up that transportation arrangement in conjunction with you.

Do I Rent? Do I Buy?

Every person who puts on an event faces that same question. So here are some considerations  to ponder when making that decision.

  • Which is cheaper? Rent or Buy?   It is almost always cheaper to rent than to buy. However, even if you find something that is cheaper to buy than to rent then you still need to consider the following:

  • I finally found the item and, not only that, it is as cheap (or almost so) as a purchase! What do I do now?   If you bought it,  you have to . . . 

  • Pay for delivery and get it delivered without damage

  • Assemble the item

  • Set up the item

  • Transport the item from the event venue after the event

  • Clean the item (if applicable)

  • Store the item where you have space or obtain a locker (don't forget the other items you chose to purchase)

  • And, if you are hoping to sell the item and get back some or all of your purchase price . . . 

  • You need to advertise the item

  • You need to negotiate with potential buyers

  • You need to hope that the item will sell (at all) or sell for a price that justifies your time and effort. Have you looked online to see how easy the item is to sell and how many others are trying to sell the exact same thing? You may need to accept the idea that you have to hold onto the item for awhile.

  • How does renting the item compare to purchasing?   You either find something you like in the rental company's inventory or let the rental company find it if it is willing to do so. You have the benefit of the rental company's experience in choosing the item and how to coordinate with other decor. After that, you just tell the rental company when and where you want the item. When you return the item, you simply return the item in the same condition you received it. That's it. No transport (unless you choose that option), no assembly or set up (again, unless you wish to control the set up), no cleaning, no storage and no need to sell the item (if, in fact, you can find a buyer). You essentially walk away.

  • Do event planners have a rule of thumb about renting v. buying?  Brides magazine gave some advice about the issue of renting v. buying in an article by Molly Allen dated May 19, 2022. Citing event planner experience, Allen notes that one of the most important considerations in planning a wedding event was what to buy versus rent. Allen indicated that the bottom line about the rent v. own decision is the reasonable likelihood of future use. Also important is the number required for the event – while you might find a use for one, do you really need 21 of the same table or floor decorations? “Statement” bars and furniture, linens and some tableware for the event were examples of items not reasonably likely to be used again. She cautions that you don’t want to be stuck with items you don’t need later on.

  • Is rental for everybody?   No. Some people just like to own and/or are willing to take on the challenges of ownership. There is no "one solution fits all". For many, however, the ability to s-t-r-e-t-c-h budget dollars further combined with the relative ease of rental leads them to consider rental as the solution for them.
